Client Portal Hiring Status Overview
The Client Portal's Hiring Status screen allows you to keep track of the assessees your company has decided to hire and decided not to hire.
Filling out this information is beneficial for determining the return on investment that Caliper has provided your organization, and it helps you to filter and sort individuals when ordering a report or using our various solutions. Using the Hiring Status screen, you can also specify an employee's Leaving Date.
Note:
These instructions assume that you have permissions to update the Hiring Status. If you do not have permissions but should, please contact Caliper to have them enable the Client Portal Hiring Status screen for you.
Updating an Assessee's Hiring Status
Accessing the Hiring Status Screen
Click Hiring Status from the Banner Menu. The Hiring Status screen appears.
By default, the Hiring Status screen sorts by Date, with the most recent assessee listed first. You can change the sort by clicking at the top of any column.
Note:
By default, all assessees will appear, regardless of their status.
This will only be the case if all three checkboxes in the upper left—Pending, Hired, and Not Hired—are selected, or if none of the three are selected.
For this example, we will select all three checkboxes.
Changing an Assessee's Hiring Status from Pending to Hired
To change an assessee's Hiring Status from Pending to Hired, perform the following:
- Click the Actions caret to the left of the assessee whose status you wish to change. A drop-down menu appears.
- Select Edit Details from the drop-down menu. A dialog will appear, headed by the assessee's name.
- Select the Hired radio button. A Hired message will appear, warning that this action will be irreversible.
- Click OK to proceed, The dialog headed by the assessee's name will reappear, expanded with the additional Hiring Date, Leaving Date, Applicant ID, Employee ID, and Supervisor fields.
- Complete the fields in the dialog:
- In the Hiring Date field, enter the date the person began with the organization. Click the small gray calendar icon for a pop-up calendar from which to select the date.
- Should one not appear by default, enter an e-mail address in the Email field. This will be helpful if you choose to conduct surveys or Validation Studies in the future.
- Enter an Applicant ID in the Applicant ID field.
- Enter an Employee ID in the Employee ID field.
(The ID features may prove useful when synchronizing your Caliper data with your ATS or HRIS systems.) - Begin entering the name of a hiring supervisor in the Supervisor field, and select a supervisor from the drop-down list that appears. Caliper will need this name should we want to gather performance data from him or her.
- Click Save. The Hiring Status screen reappears, showing this assessee with a status of Hired.
Additionally, a message confirming the Hiring Status detail changes displays in the upper left.
Changing an Assessee's Hiring Status from Pending to Not Hired
To change an assessee's Hiring Status from Pending to Not Hired, perform the following:
- Click the "Actions" caret to the left of the Pending assessee whose status you wish to change. A drop-down menu appears.
- Select Edit Details from the drop-down list. A dialog will appear headed by the assessee's name.
- Select the Not Hired radio button.
- Click Save. The Hiring Status screen reappears, showing this assessee has a status of Not Hired.
Additionally, a message confirming the Hiring Status detail changes displays in the upper left.
Specifying an Employee's Leave Date
When a Hired assessee leaves the company, perform the following:
- Click the caret to the left of the Hired assessee whose departure you wish to note in the system. A drop-down menu appears.
- Select Edit Details from the drop-down menu. A dialog will appear, headed by the assessee's name.
Important:
While it is valuable to record when a Hired assessee departs the company, that assessee's Hiring Status will not change. In fact, the system will not permit you to switch to the Not Hired radio button.
Departure from the company does not change an assessee's original Hiring Status. Once Hired, an assessee will always be Hired.
- Click the calendar icon in the Leaving Date field, and select the individual's leaving date.
- Indicate if the employee's departure was voluntary or involuntary.
- Click Save.
Filtering Assessees Using the Hiring Status Screen
You have the ability to filter out assessees based on their Hiring Status using the Hiring Status screen. This can make your search results more accurate.
Note:
The Hiring Status screen is the only place where you can filter by all three of the Hired, Not Hired, and Pending statuses.
There is a Hide Not Hired Assessees checkbox on each of the View Reports, cMetrics, and cTalent screens, but selecting this only hides those assessees that have a Not Hired status. Those who are Hired or who have had nothing selected for their hiring status still appear.
This example will demonstrate filtering out Not Hired assessees. Here Robert Temple was assessed, but not hired, so he is in the system as a Not Hired assessee. Earlier, we selected all three status checkboxes, so the Hiring Status screen shows assessees who are Pending a hiring decision, assessees who are Hired, and assessees who are Not Hired, such as Robert Temple.
However, you may only want to see Pending and Hired assessees. To do this:
- Deselect the Not Hired checkbox in the upper left. This immediately filters out Not Hired assessees, so that only Pending and Hired assessees will display in search results. You will see that Robert Temple no longer appears.
Hiding Not Hired Assessees in Analytics
Hiding Not Hired Assessees on the cMetrics Screen
By default, the cMetrics screen shows both Hired and Not Hired assessees when searched. However, you may only want to see Hired assessees.
To hide Not Hired assessees in the cMetrics screen:
- Select the Hide Not Hired Assessees checkbox below the Filter by tag or name field. Now, when a Not Hired assessee is searched, they will not show.
Hiding Not Hired Assessees on the cTalent Screen
By default, the cTalent screen shows both Hired and Not Hired assessees when searched. However, you may only want to see Pending and Hired assessees.
To hide Not Hired assessees in the cTalent screen:
- Select the Hide Not Hired Assessees checkbox below the Filter by tag or name field. Now, when a Not Hired assessee is searched, they will not show.
